This Permissions page includes two distinct features, namely User types and Permission groups. User types determine the role of the user within the organisation, while permission groups allow the creation of customised permission sets that can be assigned to multiple users.
1. Setup Permission Groups
Navigation: Global Overview > Users
It is important to note that only current Superusers can access this page. The User and Permission setup page contains a navigation sidebar on the left-hand side of the screen, listing the new business user types for quick navigation.
This is followed by the Permission groups setup, trustee permission setup, and owner permission setup. On the right-hand side of the screen, a complete list of all current Business users in the profile is visible.
The first step in the setup process is to ensure all permission groups are set up according to the client's requirements, internal controls, and workflows. To do this, the user must click on permission groups in the navigation sidebar. A summary of all default Permission Groups will appear, which are created by WeconnectU as a starting point.
To edit a default Permissions Group, select the relevant permission group and either edit permissions from the menu options or click on the permission group name.
The permission set associated with the selected group will display on the screen, with each permission section segregated by View, Create, Edit, and Delete where applicable. To amend the permission set, the user can tick or untick the permission they would like to change, scroll down to the bottom of the page, and click on save.
Important: Permissions granted will be applicable to a user on a community level as well as a global level, ring-fenced to the communities they have access to. |
The default permission groups are only suggestions, and from the permission group overview page, these groups can be renamed or deleted by clicking on the menu options next to the corresponding permission group and selecting either rename or delete.
An infinite number of permission groups can be created and customised to your needs by clicking on the add group, next to permission groups. To add a new permission group, click on Add Group in the right-hand corner of your screen and enter the new permission group name on the pop-up screen.
2. Setup User Types
Navigation: Global Overview > Users > Business Users
There are 7 Standard user types in WeconnectU, and every user needs to have a user type indicating their role in the organisation. The user can filter between user types by clicking on the specific user in the menu-side bar.
To assign a user to a specific user type and permission group, the user can click on the menu options next to the relevant business users and select edit user.
On the pop-up screen, the user can select the permission group relevant to that user from the permission group dropdown menu and the user type relevant to that user type.
Superusers are no longer a permission type but rather a tag that can be associated with a specific user by toggling the superuser box. It is best practice to keep the number of Superusers to a minimum to mitigate any risks.
These steps can be repeated with all existing users to assign them to a permission group and user type. To view all users with a specific permission group assigned to them, the user can click on the permissions dropdown and select the relevant group they want to filter for.
It’s also important to set up permissions for Trustees and Owners, to ensure they have the correct permissions when old permissions are deactivated, and new permissions are activated.
3. Setup Trustee and Owner Permissions
Navigation: Global Overview > Users > Business Users
It is important to note that only current Superusers can access this page.
Amend the Default Trustee Permission set per your preference. These permissions will apply to all your communities by default.
Should a community need specific permissions, select the community from the dropdown menu and select the relevant permissions. These permissions will override that of the default group.
Repeat these steps for the Owner permissions as well.
