CMS - How To: Set Up Arrear Notices Charges

1. Set up of Arrear Notices Charges

Navigation: Community Level > Settings > Charges



Set up the amounts charged for different notices under the Charges section for each notice type: Email and SMS. These amounts are normally indicated in the Service Agreement between the Property Managing Agency & the Trustees.




Note There is no industry standard on recovery of charges, however, if the Property Managing Agency has clauses within the contracts charges may be recovered.






Select the threshold to which each Notice Charge applies. There are five options:

  • Current: Balance amount in the current period as per the ageing date selected.
  • 30 Days: Balance amount 30 Days from the ageing date selected.
  • 60 Days: Balance amount 60 Days from the ageing date selected.
  • 90 Days: Balance amount 90 Days from the ageing date selected.
  • All Debit Amount: Any amount outstanding as the ageing date selected. 




Age Analysis is according to 30-day Calendar periods


Example: The invoice date is the 29th of November


If the following ageing dates are selected the threshold would be:

  • Ageing date 30 November = Current 
  • Ageing date 1 December = 30 Days
  • Ageing date 1 January = 60 Days
  • Ageing date 1 February = 90 days



If there should be any statuses exempt from the notices that will be sent, select in the dropdown message next to Notice Exemption.







If relevant, complete the following charges for Phonecall and Handed Over.


Notice Threshold Amount: any amount below this amount set will not receive any notices, they will be exempt from the list.


Warning Admin Fees & Penalty Admin Fees: This relates to the Warnings and Penalties function.
